Start with your objectives and impact goals (what you want), the audience (who needs to be there), and the follow-through plan (what happens after). If you need help clarifying these goals, we’re here to advise you in the initial discovery phase.

A short discovery and alignment phase → concept itinerary and costing for approval → execution planning and contingency design. Typical lead time is 9-12 months. If you have a tighter window, Iconic can design and build a lighter-format trip integrating proven regions and suppliers, or request an expedited intensive development process.

You’ll work directly with one of our outstanding Client Engagement Directors throughout the process. Trip development specialists join the effort when we begin building your program details. Iconic takes on your organizational workload by owning logistics and programmatic flow, vendor contracting and management, guest registration, and concierge support.

We build each program with duty of care, security and contingency planning in mind from the start. That includes vetted partners and suppliers, destination-specific planning and local relationships, traveler onboarding and briefing, waiver and documentation workflows, clear escalation pathways, and on-the-ground leadership prepared to respond quickly if conditions change. When plans shift, we aim to solve problems quietly so that your team stays focused on relationships.

We’ll evaluate your destination preferences based on current safety, access, optics, mission alignment, and guest experience metrics. If something isn’t a fit and doesn’t serve your objectives, we can all explore alternatives.

Many of our nonprofit donor engagement journeys fall in the range of $800-$1,500/person/day, depending on destination, season, accommodations, group size, and program complexity. Trips with simpler domestic logistics and more rustic, nature-forward lodging may fall toward the lower end, while international programs, elevated accommodations, and more customized design elements typically trend higher. Small trips, designed specifically around an anchor donor, often are above that range due to the limited number of participants and the high level of customization.
